Job Summary:
The part-time weekend Concierge plays a crucial role in our community by managing all incoming communication, ensuring a welcoming environment for residents and visitors, and providing essential administrative support. This position requires a candidate with excellent organizational skills, a friendly demeanor, and a commitment to maintaining a positive living experience for our residents.


Performance Requirements:
 
1.     Completes all duties as requested and required by the Vice President of Healthcare.  
2.    Answers all incoming telephone calls and if needed, directing the caller to the appropriate individual/department. 
3.    Takes and distributes telephone messages. 
4.    Distributes internal and external mail. 
5.    Greets visitors and residents in a friendly, respectful, and accommodating manner, giving directions and answering questions to the best of his/her ability. 
6.    Checks all visiting pets to assure vaccinations are on file in the Pet Book at the reception desk and if not, check with the activities staff before allowing to enter The Village. 
7.    Sorts resident mail by area for distribution. 
8.    Understands, protects, and promotes the confidentiality of resident care information in accordance with HIPAA regulations. 
9.    Monitor FAX receipts via email throughout the day and forward to the appropriate individual(s).  Check each morning for new faxes. 
10.  Fax face sheets to the physician and nurse practitioner business offices weekly. 
11.   Ensure all information is complete on the face sheet for all patients/residents through the audit process on the day after admission and is routinely updated.  Request needed information as required. 
12.  Review all incoming referrals from hospital portals and faxes for insurance coverage. 
13.  Print full referrals for traditional Medicare or specified patients requested immediately upon receipt. 
14.  Scans documents into electronic medical records daily and as needed. 
15.  Perform other tasks as assigned or requested by management.

  • Maintain a well-groomed appearance and a courteous, friendly, patient, and congenial manner at all times.

Qualifications:

  • Education: High School diploma or equivalent.
  • Training and Experience: Ability to work well under pressure with a high degree of interruption. Proficient in typing, filing, and handling a multi-line telephone system. Knowledge of Microsoft Office is necessary.
  • Must maintain good public relations with a positive work attitude in the work environment.
